This individual contributor role is perfect for someone who is highly organized, resourceful, and excited about building operational processes that scale. You must be willing to roll up your sleeves, dive into the details, and update and manage the service delivery team’s schedules and project the next 90 days schedule based on the sales pipeline forecast.

About the Position
The Client Delivery Operations Specialist plays a critical administrative and coordination role in the success of our service delivery team. This individual contributor role merges sales pipeline forecasts with active project workloads, coordinates project scheduling based on resource capacity and budget, and ensures we operate with efficiency, consistency, and brand alignment across our delivery processes.
You’ll maintain a centralized view of all project status, risks, blockers, budgets, and deliverables, while helping ensure that delivery team members are appropriately allocated and supported. You’ll lead weekly service delivery meetings, maintain and organize client-facing templates, and collaborate with delivery team members to streamline operations and improve delivery quality using AI-enabled tools.

What You’ll Do:
Project Operations Coordination (60%)
    • Consolidate pipeline forecasts and active project schedules to provide a 90-day view of team capacity and workload.
    • Maintain comprehensive visibility into all project budgets, phases, team assignments, and timelines.
    • Allocate budgeted hours to consultants and track actual utilization against plan.
    • Lead weekly client service delivery team meetings to report on project statuses, surface blockers/risks, and flag projects trending over budget.
    • Monitor and communicate project resource gaps or delivery risks to the CEO and COO.
    • Collaborate with the Operational Accountant and CEO to reconcile staffing levels and project budget allocations.
Process & Template Optimization (30%)
    • Maintain and enforce firm-wide use of standardized, branded client-facing delivery templates.
    • Audit and organize the consultant library of delivery templates to ensure easy access and version control.
    • Collaborate with consultants to streamline templates and improve usability.
    • Leverage AI tools to analyze patterns and identify opportunities to automate or improve service delivery processes.
Operational Projects & Strategic Support (10%)
    • Support other operational initiatives that improve delivery efficiency and scalability.
    • Conduct independent research to understand industry terminology, compliance frameworks, and internal needs.
    • Actively listen, ask clarifying questions, and propose pragmatic solutions based on evolving business objectives.
What You Need to Get Hired
Experience & Expertise
    • 5–7 years of professional experience in operations, project coordination, or service delivery within a small business, preferably a service firm.
    • Bachelor’s degree in Business, Information Systems, or related field.
    • Experience working directly with founders or executive leadership.
    • Strong understanding of project budgets, resource planning, and timelines.
    • Prior experience building, organizing, or maintaining template libraries and internal documentation systems.
    • Technical & Process Skills
    • Comfortable learning new technologies quickly and using AI tools to improve workflow.
    • Experience with project management tools (e.g., ClickUp, Asana, Notion) and Microsoft 365.
    • High attention to detail, organization, and ability to juggle multiple priorities.

  • Education & Credentials
    • Bachelor’s degree in a relevant field (MIS, IT, Computer Science, Business, etc.).
    • Professional certifications such as CISA, CISSP, CISM preferred or a commitment to obtain them.
    • Deep knowledge of SOX, SOC, ISO 27001, PCI, GDPR, and familiarity with NIST 800-53 frameworks.
